EarthGuard Energy Solutions LLC (d/b/a CrewForce, “we,” “us,” or “our”) operates crewforce.cloud and related AI services. This Privacy Policy explains how we collect, use, disclose, and protect your information.
1. Information We Collect
1.1 Information You Provide
- Account information: Name, email, phone number, company name, business address
- Business data: Service area, employee count, brands serviced, pricing information, business hours
- Payment information: Processed securely by Stripe; we do not store credit card numbers
- CRM credentials: OAuth tokens for connected CRM platforms (encrypted AES-256-GCM)
1.2 Information Collected Automatically
- Call recordings and transcripts: When our AI agents handle calls on your behalf, we record and transcribe those calls to provide the Service
- Caller information: Phone numbers, call duration, caller intent classification
- Usage data: Features used, pages visited, API calls made
- Device information: Browser type, IP address, operating system
1.3 Information from Third Parties
- Authentication provider (Clerk): Email, name, profile image
- CRM platforms: Customer records, job data, invoices (when you connect your CRM)
- Phone providers (Twilio, OpenPhone): Call metadata, SMS delivery status
2. How We Use Your Information
- Provide, maintain, and improve the Service
- Handle phone calls and schedule appointments on your behalf
- Generate invoices, send reminders, and process permit applications
- Sync data with your connected CRM platform
- Send transactional communications (appointment confirmations, payment reminders)
- Provide customer support
- Detect and prevent fraud or abuse
- Comply with legal obligations
3. Call Recording Disclosure
Massachusetts two-party consent: Our AI voice agents disclose to every caller at the beginning of each interaction that: (a) they are speaking with an AI assistant; (b) the call may be recorded. This disclosure is mandatory under Massachusetts General Laws Chapter 272, Section 99. Recordings are stored securely and used solely to provide the Service, improve AI quality, and resolve disputes.
4. How We Share Your Information
We do not sell your personal information. We share data only in these circumstances:
- Service providers: Twilio (phone), Vapi (voice AI), Stripe (payments), Clerk (authentication) — each bound by their own privacy policies
- CRM platforms: Only the CRM you explicitly connect (e.g., Jobber, Salesforce)
- Legal requirements: When required by law, subpoena, or court order
- Business transfer: In connection with a merger, acquisition, or sale of assets
5. Data Security
- CRM OAuth tokens encrypted with AES-256-GCM
- All data transmitted over HTTPS/TLS
- Database access restricted to authorized services only
- Regular security reviews and updates
- Payment data processed by PCI-compliant Stripe — never stored on our servers
6. Data Retention
- Account data: Retained while your account is active, plus 30 days after termination
- Call recordings: Retained for 90 days, then automatically deleted
- Billing records: Retained for 7 years per tax requirements
- Usage logs: Retained for 12 months
7. Your Rights
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate information
- Delete your account and associated data (subject to legal retention requirements)
- Export your data in a machine-readable format
- Opt out of marketing communications

8. SMS/Text Messaging
Our Service sends SMS messages on your behalf (appointment confirmations, payment reminders, review requests). All SMS communications comply with TCPA regulations and include opt-out instructions. See our SMS Consent Policy for details.
9. Cookies and Tracking
We use essential cookies for authentication and session management. We do not use third-party advertising trackers. Analytics data is collected in aggregate form only.
10. Children's Privacy
The Service is not directed to individuals under 18. We do not knowingly collect information from children.
11. Changes to This Policy
We may update this Privacy Policy periodically. Material changes will be communicated via email at least 30 days before taking effect. The “Last updated” date reflects the most recent revision.
